Organisations guide

Share password vaults with your team. Manage members and roles (Member / Admin / Owner) with fine-grained control.

1. What is an organisation?

Organisations let teams share password vaults. Any registered user can create an organisation and becomes its first Owner. Owners can invite members, assign roles, and manage the organisation's vaults.

Organisation management is on the Organisations page in the app.

2. Roles

Every member of an organisation has one of three roles:

An organisation must always have at least one Owner. You cannot demote or remove the last Owner.

3. Creating an organisation

  1. Go to the Organisations page.
  2. Click New organisation.
  3. Enter a name and optional description.
  4. Click Create.

You are automatically added as the Owner of the new organisation. The org card appears immediately on the Organisations page.

You can also create an organisation during vault creation by selecting Organisation as the vault owner and choosing Create new organisation… from the dropdown.

4. Managing an organisation

Find the organisation's card on the Organisations page and click Manage to open the management panel. From here you can:

  • See all members and their roles
  • Add new members
  • Change member roles (Owners only)
  • Remove members (Admins and Owners)
  • Delete the organisation (Owners only)

5. Adding members

The person must already have a Passflares account before they can be added.
  1. Open the org management panel and click Add member.
  2. Enter the member's email address.
  3. Select their role: Member or Admin. (Owner can only be assigned via the role-change flow.)
  4. Click Add member.

6. Changing a member's role

Only Owners can change roles.

  1. Open the org management panel.
  2. Find the member's row. Owners see a role dropdown next to each member (except themselves).
  3. Select the new role from the dropdown.
  4. Click Apply.
You cannot change your own role. You cannot demote the last Owner.

7. Removing a member

Admins and Owners can remove members, with the following restrictions:

  • You cannot remove yourself.
  • An Admin cannot remove an Owner — only another Owner can do that.
  • The last Owner cannot be removed.
  1. Open the org management panel.
  2. Click Remove next to the member's name.
  3. Confirm the prompt.

The member loses access to all organisation-owned vaults immediately.

8. Organisation-owned vaults

Vaults owned by an organisation appear in the Organisation vaults section of the Vaults page for all members. The vault card shows the organisation's name in a coloured badge.

To create an org-owned vault:

  1. On the Vaults page, click New vault and set Owner to Organisation.
  2. Select the organisation from the dropdown.
  3. Enter a name and optional description.
  4. Click Create vault.
You must be an Admin or Owner of the organisation to create a vault on its behalf.

Each member's access level (read / write / manage) is set when the vault is created and applies to the whole organisation.

9. Deleting an organisation

This is permanent and cannot be undone. Deleting an organisation removes all organisation-owned vaults and their entries from the server. Members lose access immediately.

Only Owners can delete an organisation.

  1. Open the org management panel.
  2. Click Delete organisation at the bottom of the panel.
  3. Confirm the prompt.
Before deleting, assign another Owner or reassign important credentials from org vaults to personal vaults so they are not lost.

10. Frequently asked questions

Can I be a member of multiple organisations?

Yes — you can belong to as many organisations as you like, each with an independent role.

What happens to org vaults when I leave an organisation?

You lose access to all org-owned vaults immediately. The vaults and their data remain intact for other members.

Can I transfer ownership of an organisation?

Yes — as an Owner, promote another member to Owner and then have yourself removed, or simply add them as Owner and leave it with multiple Owners.

Can members see each other's personal vaults?

No. Personal vaults are never shared. Only vaults explicitly owned by an organisation and accessible to its members are shared.

What happens to org vaults if the last Owner deletes their account?

The org vaults remain. However, no one will be able to manage or delete the organisation. Assign at least one other Owner before deleting your account.
